Straight answers about pool service software

The questions pool company owners actually ask before switching software: what it costs, how routes and dispatch work, what technicians do in the field, and where PoolPuma has honest gaps. Every answer names real numbers and says plainly what the product does and does not do today.

Routes and dispatch

How routes, schedules, dispatch, and daily visibility fit together.

What is a pool route? A pool route is a weekly worksheet listing the stops one technician services on one service day, in the order they drive. In PoolPuma a route belongs to one person and one weekday, and each stop points to a body of water and sets its position in the sequence, mirroring the paper route sheet many companies still use. Can I run multiple routes per technician? Yes. Each route belongs to one technician and one service day, so a tech normally has a separate route per weekday. When someone needs more than one route on the same day, a short label keeps the versions apart. Weekly routes are unlimited on every plan, so you are never capped on route count. What is pool service dispatch? Pool service dispatch is turning your recurring weekly routes into today's live work. In PoolPuma, the day's route runs are created on demand from every schedule due that date the first time someone opens or dispatches the day. Technicians then work from that daily run, and the office watches progress as stops are completed. Can office staff see technician progress in real time? Yes. Owners and managers watch the route progress dashboard, which updates as technicians complete or skip stops in the field. You can see who is on stop six, who skipped and the reason, and who is done, without calling around. The view reads from each day's live route runs, so it reflects the current state. How does route optimization work? Route optimization suggests a more efficient order for a weekly route's stops, measured from your company dispatch address. It is a suggestion, not an automatic change: a manager reviews the proposed order and explicitly applies it before it affects the live route. If the AI service is unavailable, you still order stops manually. What service cadences does PoolPuma support? PoolPuma schedules repeat weekly, every two weeks, every four weeks, or one time. Each schedule anchors to a weekday or date and connects to the weekly route responsible for it. You can pause a schedule for a date range or give it a start and end date, which handles seasonal closures and snowbird accounts without rebuilding anything.

Field app

What technicians do in the field: logging visits, chemistry, and photo proof.

Does PoolPuma work offline? Yes, for field service logging. A technician can record a visit offline: readings, chemicals, notes, skip reasons, and proof photos queue on the device and sync automatically when the connection returns. PoolPuma is a web app you open in a browser, not a native app, and some office-side actions still need a live connection. Can I track chemical readings per pool? Yes. Every reading, dose, and note is logged against a specific body of water, not just a customer or a route. Each pool and spa keeps its own continuous chemistry history across every visit and every technician who serviced it, and readings can be checked against that body of water's own target ranges. How do pool techs log service visits with photos? A technician opens the stop in the field app, records readings, chemicals, and notes, and attaches photos of the work. PoolPuma captures device time and GPS location with completion photos, checked against a company proof policy that can set a minimum photo count and required readings. The proof freezes onto the visit record when the stop is done. What service reports do customers receive? PoolPuma records a complete service visit for every stop: readings, chemicals, notes, and photos with device time and GPS. Honestly, there is no automatic customer-facing report email or customer portal today. The record lives in the app, so office staff can pull up the proof and details whenever a customer asks about a visit.

Data and roles

Roles and permissions, service history, migration, and what PoolPuma does not do yet.

Does PoolPuma have a customer portal? No. PoolPuma does not have a customer-facing customer portal today, and there is no automatic report emailed to homeowners. It is the operations software your office and field team use. Every visit, reading, and photo is stored per pool, so staff can answer any customer question with the actual record in front of them. What roles and permissions does PoolPuma have? PoolPuma has three roles. Owners control the account, billing, company profile, and users. Managers run day-to-day operations but cannot change billing or company identity. Pool operators see only their assigned routes and the pool details needed to service them, never customer contact, billing, or company settings. Team members are unlimited on every plan. What happens to data when a tech leaves? The data stays with the company. Every visit is anchored to the body of water, not the technician who logged it, so each pool keeps its full history of readings, chemicals, notes, and photos across every tech who ever serviced it. When someone leaves, you disable their login. The service record does not walk out the door. Can I import my customers from a spreadsheet? Yes. Every plan includes free CSV or Excel onboarding migration help. If your customers, properties, pools, or route lists already live in a spreadsheet, the PoolPuma team helps move them in during onboarding, so you are not retyping accounts by hand to get started. Larger legacy exports are supported too. Is there an onboarding call? Yes. Every self-service plan includes a 1:1 onboarding call. The team helps you build your first weekly routes and import your existing customers, properties, and pools, so setup is a guided session rather than a solo project. The goal is to have you running next week's routes in days, not months. Does PoolPuma integrate with QuickBooks? No. PoolPuma does not integrate with QuickBooks today, and it does not generate invoices or process payments. What it does is keep the billing detail behind the work: every completed visit, work order, billable material, and labor minute stays tied to the pool it happened at, ready to reference when you invoice in your existing system.
